A distinguished private family in North Miami Beach is seeking an experienced Estate Manager to take the helm of a large, multi-building residence and grounds. This is not a typical household management role; it is a rare opportunity to run a complex private property with the precision of a luxury hotel and the discretion of a family office.

The Estate Manager will be the central leader for all on-property operations. You will oversee staff, vendors, systems, and standards, ensuring that every space is immaculate, every detail is anticipated, and every guest experience feels effortless. You will work in close partnership with a Director of Estates while owning the day-to-day rhythm of the property.

Day-to-Day Responsibilities

The Estate Manager will be responsible for the property’s overall care, upkeep, and smooth operation. Responsibilities include, but are not limited to:

  • Leading, scheduling, and managing household staff, including chefs, housekeepers, groundskeepers, maintenance personnel, and other service providers.
  • Identifying, selecting, and coordinating contractors for construction, renovation, repairs, and ongoing specialty services.
  • Ensuring all smart home and mechanical systems operate flawlessly, coordinating with technology vendors as needed.
  • Designing and overseeing a comprehensive maintenance program for buildings, structures, landscaping, and outdoor amenities.
  • Managing the estate’s operating budget, reviewing and approving invoices, tracking expenses, and preparing regular reports.
  • Supervising the care and scheduling of vehicles, watercraft, and other on-property assets to keep them in pristine, ready-to-use condition.
  • Planning and executing events on the property, from intimate family gatherings to larger-scale celebrations, including logistics, staffing, and vendor management.
  • Creating and maintaining weekly staff schedules and approving timecards biweekly.
  • Overseeing purchasing, stocking, and inventory control for household supplies, beverages, linens, and other essentials.
  • Providing direct, hands-on service to the family and their guests when needed, setting the tone for gracious, attentive hospitality.

Schedule, Setting, and Expectations

This is a live-out position based in North Miami Beach. The general schedule is Monday through Friday during daytime hours, but flexibility is essential. The Estate Manager will be expected to work evenings, weekends, and holidays as needed for special events, travel, or family needs.

The environment is fast-paced, detail-driven, and service-oriented. High standards are the norm. Discretion is crucial, and the Estate Manager must be comfortable operating behind the scenes while protecting the family’s privacy at all times.

 

Who You Are

This role is ideal for a seasoned professional who thrives at the intersection of leadership, hospitality, and operations. You are someone who notices what others miss, takes ownership without being asked, and finds satisfaction in creating order and calm in a complex environment.

  • Minimum of 5 years of experience as an Estate Manager or in a comparable senior household management role, ideally with a background in luxury hospitality or private service.
  • Demonstrated success overseeing large, multi-disciplinary teams and aligning them around clear standards and processes.
  • Experience managing construction or renovation projects, including liaising with architects, contractors, and inspectors, is highly valuable.
  • Comfortable planning and executing events of varying scale, from formal dinners to large social gatherings.
  • Exceptionally organized, detail-oriented, and reliable, with strong written and verbal communication skills.
  • Tech-savvy and proficient with common software tools such as Word, Excel, and Outlook, plus confident working with modern household technology systems.
  • Holds a valid driver’s license and maintains a professional, polished presence.
  • Willing and able to complete comprehensive background and reference checks.

Physical Aspects of the Role

This is an active position that requires regular on-site presence throughout the property. The Estate Manager should be prepared to spend extended periods on their feet, walking the estate, inspecting spaces, and assisting with hands-on tasks when necessary.

  • Ability to lift up to 50 pounds with or without reasonable accommodation.
  • Ability to stand, walk, bend, and move around the property for prolonged periods during the workday.

Compensation and Benefits

This opportunity offers a highly competitive salary, expected in the range of USD 200,000 to 250,000 annually, with the final offer reflecting experience, skill set, and overall fit for the role.
